Purchasing & Accounts Payable Specialist

Position Summary

Galenvs Sciences Inc. is currently seeking an energetic, detail-oriented, and self-driven individual with experience in laboratory procurement and accounts payable process. Working closely with Laboratory Management and the Finance department, the successful candidate should be familiar with purchasing processes and supplier relationship development. 


  • Ensure that the purchasing procedure is followed and applied
  • Analyze and calculate costs of procurement and suggest methods to decrease expenditure
  • Researches and identifies prospective suppliers and maintains good supplier relations
  • Evaluates suppliers and products according to key criteria of the business
  • Prepares proposals, requests quotes, and negotiates purchase terms & conditions
  • Prepares and issues purchase orders & agreements
  • Monitors supplier performance and resolves concerns and issues
  • Validate supplier invoices and packing slips
  • Keep track of delivery times and cost accuracy     
  • Liaise with customs brokers to receive and clear shipments
  • Inspects and evaluates the quality of items purchased and then resolve shortcomings/damaged goods
  • Responsible for Accounts payable 
  • Analyzes industry & demand trends and supports senior management with the implementation & development of sourcing strategies
  • Prepares reports and maintains accurate inventory & procurement records
  • Complies with company and government procedures, policies, & regulatory standards
  • Any other administrative or purchasing tasks related to the position


  • Excellent command of English (oral and written) and French (oral and written)     
  • DEC or University degree in Business, Logistics, Supply Management or relevant field (Experience may substitute for education)
  • 3-5 years of related experience in procurement, logistics and/or purchasing (Purchasing in Biotech, Chemistry or Life sciences experience is a plus)
  • Knowledge of Accounts Payable cycle (required)
  • Proficiency in Microsoft Office (Strong command of Excel)
  • Experience with Quickbooks a plus
  • Quartzy, Big Fish, or any other laboratory management software experience a plus
  • Formal training in Bookkeeping, a plus
  • Strong negotiation skills
  • Excellent analytical, problem solving and organizational skills
  • Ability to work independently and handle multiple projects
